This Privacy Policy describes how Rampways Automations Inc. ("we", "us", or "our") collects, uses, shares, and protects personal information. This policy applies to information collected through our website (https://www.rampways.com/), our services, and other interactions with us (collectively, the "Services").
By using our Services, you agree to the collection and use of information in accordance with this policy.
Information We Collect
We collect information to provide and improve our Services.
Information You Provide Directly: This includes personal information you provide when you sign up for an account, request a demo, contact customer support, or otherwise communicate with us. This may include your name, email address, phone number, job title, and company information.
Information Collected Automatically: When you visit our website, we automatically collect technical information. This includes your IP address, browser type, operating system, and usage data (such as pages visited). This information is collected using cookies and similar technologies, such as Google Analytics, only after you have provided your consent.

We use the information we collect for the following purposes:
To Provide and Maintain Our Services: To deliver the automation services our clients have contracted us for and to manage user accounts.
To Improve Our Services: To understand how users interact with our website and services, allowing us to enhance functionality and user experience.
To Communicate With You: To respond to your inquiries, provide customer support, and send you important administrative messages.
For Marketing and Promotional Purposes: With your explicit and separate consent, we may use client feedback, written testimonials, or recorded video calls for promotional materials on our website and social media. Participation in such marketing activities is entirely voluntary.

Cookies and Tracking Technologies
This Privacy Policy also serves as our detailed notice on cookie usage. We use cookies and similar tracking technologies only after you grant us permission via our consent banner.
A cookie is a small text file stored on your device. We use them for:
Essential Cookies: These are necessary for the website to function and cannot be switched off in our systems.
Performance and Analytics Cookies: These cookies, such as those from Google Analytics, allow us to count visits and traffic sources so we can measure and improve the performance of our site. All this data is aggregated and therefore anonymous.
You can manage or withdraw your consent at any time. You can also set your browser to block or alert you about these cookies, but some parts of the site may not work as a result.
Interaction with Client Systems and Data
Our services are designed to automate processes within our clients' existing IT environments.
It is important to understand that we do not host or store any patient or Personal Health Information (PHI) on our own systems. Our automations operate on third-party applications and infrastructure controlled by our clients.
While we perform due diligence and aim to configure our automations in a manner that respects our clients' compliance obligations (such as PHIPA or HIPAA), we do not guarantee their compliance. The client, as the Health Information Custodian or Covered Entity, retains ultimate responsibility for ensuring that their systems and the third-party applications they use are fully compliant with all applicable laws and regulations.
Hosting and Third-Party Services
We do not host client data on our own servers. Our internal operations utilize reputable, third-party cloud hosting platforms such as Amazon Web Services (AWS) and Google Cloud. The security of the data on these platforms is governed by the security and compliance measures of those providers.
When our services operate within a client's own hosting environment (whether cloud-based or on-premise), the client is solely responsible for their own IT and security due diligence. This includes implementing and maintaining appropriate administrative, physical, and technical safeguards to secure their infrastructure and data.
Data Retention
We retain your personal information, such as your contact and account details, for as long as is necessary to fulfill the purposes for which it was collected. This includes for the duration of our business relationship, to satisfy any legal, accounting, or reporting requirements, and for a reasonable period thereafter in case of any disputes. You may request the deletion of your personal information at any time by contacting us.
International Data Transfers
We operate globally, which means your personal information may be transferred to, stored, and processed in countries outside of your country of residence, including Canada and the United States. When we transfer your information, we will protect it as described in this Privacy Policy and in accordance with applicable law.
Limitation of Liability
This Privacy Policy does not create a contractual obligation between you and Rampways Automations Inc. Our legal obligations to paying clients are governed exclusively by a separate Terms of Service agreement.
To the fullest extent permitted by applicable law, in no event shall Rampways Automations Inc., its directors, employees, or affiliates, be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses.
Furthermore, you explicitly acknowledge and agree to the following:
Responsibility for Data Sharing: You agree not to transmit or share any unsolicited confidential, sensitive, or Personal Health Information with us directly. Our Services are designed to interact with your systems, not to store this category of information on our own. We assume no liability for any data you improperly disclose to us in violation of this policy or any other agreement.
No Liability for Third-Party Systems: We shall not be liable for any data breach, security incident, loss of data, or damages that occur on our clients' or any third-party's systems, servers, or applications. Our liability is strictly limited to our own platforms and internal operations. We are not liable for security failures originating from a client's own infrastructure, their cloud service providers, or their failure to perform adequate security due diligence.
No Liability for Damages: We are not liable for any damages to you, your business, your patients, or any third parties connected to your organization that may arise from your use or inability to use our Services or the automations we configure.
Ongoing Client Responsibility: You, as the client or website visitor, are solely responsible for performing your own ongoing due diligence, audits, and compliance checks. This responsibility extends to the automations we configure for you for the entire duration of their use. It is your responsibility to ensure that your business operations and your use of our Services comply with all laws, regulations, and industry standards applicable to you.
